Contact Form Privacy Notice

Contact Form Privacy Notice

This notice applies to the general contact form and country contact forms on visas.org.tr. It is an information notice and not an explicit-consent request. You do not need to tick a consent box merely to confirm that you have read it.

This notice is provided for information. It does not require a consent or contractual acceptance checkbox. Evidence that the notice was presented may be retained separately.

1. Data controller

The data controller is Mark Sigorta Aracılık Hizmetleri Anonim Şirketi, Istanbul Trade Registry No. 348433-5, MERSIS No. 0612151602000001, at Üçevler Mahallesi 955. Sokak No: 1 D: 38, 34513 Esenyurt, Istanbul, Türkiye. KEP: [email protected].

A country-specific telephone number or contact routing does not change the identity of the data controller unless the relevant page expressly identifies another controller.

2. Data collected

The contact form collects:

  • name;
  • email address;
  • selected subject;
  • an optional application or policy reference;
  • the message entered by the sender;
  • date, time and technical security records associated with submission.

The contact form is not a visa or insurance application form. Do not include passport images, full payment-card data, health data or another sensitive document unless the Company specifically requests it through a secure channel after reviewing the request.

3. Purposes and legal grounds

Data is processed to:

  • receive, classify and answer the request;
  • identify the relevant service or country support team;
  • locate a transaction when an optional reference is provided;
  • maintain a record of the request and response;
  • prevent spam, fraud and technical misuse;
  • establish, exercise or protect rights and comply with legal obligations.

Processing may be necessary to take steps at the sender's request before or during a service relationship, comply with legal obligations, establish or protect rights, or pursue legitimate interests in support quality, security and accountability after a balancing assessment. Explicit consent is not used where another lawful ground applies.

4. Recipients

Only to the extent necessary, data may be accessible to authorized Company support and operations personnel and may be processed by hosting, cybersecurity, email, communication and customer-support providers acting under appropriate arrangements. It may be disclosed to advisers or authorized institutions where required or permitted by law.

A message concerning a selected insurer or another independently responsible institution may be forwarded to that institution only where necessary to handle the request and where the sender is informed or the transfer is otherwise lawful.

5. Retention

Contact records are retained for the period reasonably necessary to answer and follow up the request, meet legal and accounting obligations, prevent abuse and establish or defend rights. Unnecessary attachments or sensitive information sent without request may be deleted earlier or the sender may be asked to resubmit through an appropriate secure channel.

6. Service response and marketing

An answer about the submitted request is a service communication. It is not marketing. Optional promotional email, SMS or telephone communication requires a separate channel-specific preference and is not a condition for submitting the contact form.

7. Rights and contact

Subject to Article 11 of Law No. 6698 and its conditions, the data subject may request information, correction, deletion or destruction, information about recipients, objection to certain solely automated outcomes and compensation for unlawful processing.

Requests may be submitted through the visas.org.tr data-subject request channel, by signed letter to the registered address or from a registered electronic mail account to [email protected]. Proportionate identity and authority verification may be requested.

Further information is available in the general Privacy Policy.
